Set up a Microsoft Viva Glint Onboarding survey

Microsoft Viva Glint refers to Onboarding and Exit surveys as Employee Lifecycle surveys. Onboarding surveys are crucial for gauging new hires’ early experiences and ensuring they have the resources and support needed to succeed. Onboarding surveys typically occur in the first few weeks of employment and Viva Glint suggests surveys at intervals to track new employees' experience in your company. These surveys cover aspects like the effectiveness of your orientation process, clarity of job expectations, and the supportiveness of the environment.

The first Onboarding survey for new hires is recommended at 30 days. Consider sending another Onboarding survey at 60 and at 90 days of employment. Use separate survey programs and Distribution Lists for 30, 60, and 90 day Onboarding feedback.

Onboarding tips

  • Onboarding survey Distribution List date ranges are relative the hire date that you include in data your organization uploads to Viva Glint.
    • For example, if a person should receive a survey 30 days after their hire date, cast a wide net with the days after the hire date range in a list by choosing 30 - 45 days after hire date.
  • Don't make the response window too short. Delayed data imports to Viva Glint might cause people to miss an intended Onboarding survey.

How to set up an Onboarding Survey

  1. From the admin dashboard, select Configuration.

  2. In the Surveys section, select Survey Programs.

  3. Select + New Program.

  4. Choose a survey template or start with a blank template in the Lifecycle section.

  5. Hover over a template and select Create Program.

  6. After creating a new survey program from a template, follow the guidance listed for each section of your Onboarding survey setup.

    Setup section Description
    Program Setup Define basics like languages, optional features, and confidentiality settings.
    *See Important note below.
    Distribution Select Distribution Lists or User Roles to include in or exclude from the survey invite list.
    Questions Add survey introduction text, select questions, and add a survey thank you message.
    Reporting Define which roles have access to this survey's results and determine key reporting views.
    Communications Customize and set a schedule to send survey communications.
    Coaching Confirm or customize content that helps users interpret results on their dashboards.

Important

For Employee Lifecycle surveys, if the Waiting period between surveys field is edited after a survey generates for an employee, the change only impacts new surveys generated for that employee. The original waiting period is enforced for surveys scheduled and generated.

For example: As the admin, I change the waiting period window from 60 days to 30 days for our Onboarding survey. Nina New Employee is scheduled to receive their Onboarding survey according to the original waiting period of 60 days. Nina's schedule remains at 60 days until 60 days pass. After this time, if another Onboarding survey is generated for Nina, the 30 day schedule overrides the original waiting period.

Note

The attribute that your organization includes as a hire date in uploaded data may have a different label, like "Start Date." Select the date that should trigger Onboarding surveys in the Distribution section of your survey.

  2. Review survey setup before survey launch.

  3. Enable and launch your survey.
